June 20, 2012

IN ATTENDANCE:  Dorie Alpha, Carol Anderson, Karen Bach, Bill Briska, Barbara Evans, Donna Leetz, Dan/Pat Miller, Julie Schmitt

The meeting, held at the Elgin Historical Museum, was called to order at 7:10 p.m. by President Karen Bach.

Dan met with City officials to discuss funding for HD signs.  Of the $5,000 the City contributed to the neighborhood grant given to GPA for trees last year, $1,756 remains.  What the City has proposed to do is to 1) close out the grant and 2) roll over that balance to the Heritage Commission to be applied to signs for the Elgin Historic District.  GPA will contribute the rest, in part to fulfill its tree grant obligations.  The motion to accept the City’s proposal—made by Carol Anderson—passed unanimously.  Karen Bach will write a letter so informing the City.

Dan is sending the recent issue of the online Gazette, sans links, in pdf format to Karen Bach and Donna Leetz for printing.  If we wish to put the soon-to-be-delivered copies in plastic bags, Donna, awash in inherited ones, will provide them.

Julie Schmitt said that one way to draw more to GPA’s Facebook page was via promotional efforts, such as a contest that involves posting photographs of Elgin.  She then offered to help with such a promotion.

That GPA needs a generic email address from which organizational business can be communicated to others was not disputed by anyone.  Such an address would help separate the content being communicated from the organization from content which is being sent from any one individual or being forwarded from some other source.  GPA’s content would be official business—which would include such items as agendas for meetings, minutes, newsletters, announcements of GPA-sponsored events—would be a relatively small volume of email.

Secretary’s Note: Though just such a generic email address was used to send out The Gazette, not until after the meeting did we learn that the address seen by people replying to it was also the generic Gifford Park Association one.  Thus everything is already set up for using a generic email account for association business.

Establishing an email marketing policy and complying with CAN-SPAM laws, however, generated much discussion.

Secretary’s Note: This discussion is continuing via email.  Perhaps by the next meeting the issue will have been resolved so that a definitive report can be made.

Karen Bach has asked Brenda Hennesey if she’ll be in charge of Turkey Trot this year and is waiting to hear back from her.

The motion to adjourn—made by Donna Leetz—passed unanimously.

Respectfully submitted,

Barbara Evans, Secretary
